How it works

Clients change their own booking from the email you already send. Free on every plan.

  1. Your confirmation email has a Manage booking button - and so does the reminder email.
  2. It opens the client's own booking page, the same private page as their receipt.
  3. They tap Reschedule or Cancel booking. The page says how long they have, like "You can reschedule or cancel online up to 24 hours before your appointment."

Rescheduling: only real open times

The client can only move to a time you'd accept a new booking for.

  • Only times your booking page would offer right now: your business hours, blackouts, minimum notice, how far ahead clients can book, buffer time and travel time all apply.
  • Never on top of another booking - a Pending one included.
  • Everything else stays the same: services, price, payments and status. Only the date and time move.
  • Up to 2 moves per booking. After that, the client is asked to contact you.

While your booking page is offline, online rescheduling is paused too - clients can still cancel.

Cancelling

The client sees your cancellation policy before they confirm.
  • Your cancellation policy is shown on the "Cancel your booking?" page, if you have one turned on.
  • The booking becomes Cancelled and the time opens up on your booking page again.
  • Nothing is refunded automatically. A deposit or payment taken through Stripe stays in your Stripe account, and the client is told you'll follow your cancellation policy. Your "Booking cancelled by client" email says what they paid - to refund, open the booking and click its Stripe payment ID. Any card payment link you'd sent stops working.

You set the rules

Choose what clients can do and how close to the appointment.

Settings > Policies & terms > Online changes. Two switches and one cutoff.
  • Let clients reschedule online and Let clients cancel online are separate switches - allow one, both or neither.
  • Stop online changes: 1, 2, 4, 12, 24 (the default), 48 or 72 hours before the appointment - or Never, so changes are allowed any time before it starts.

After the cutoff, the buttons are gone and the page says, for example: "Online changes close 24 hours before your appointment. To change it now, please contact" you, with your phone and email.

New accounts in the 19 business types that price everything up front - barbers, salons, trainers, tutors and the like - start with both switches on and a 24-hour cutoff. Other types start with them off.

You always know what changed

Booking Details keeps the old time, so you can see what moved.
  • An email for every change while new-booking emails are on: Booking rescheduled by client (#123) with the old and new time, or Booking cancelled by client (#123).
  • Booking Details shows it: "Rescheduled by the client online from" the old time, or "Cancelled by the client online".
  • The client gets a copy - "Your booking has moved" or "Your booking is cancelled" - when an earlier confirmation reached their address.

Safe by design

Each client's link is private and can't be guessed, and it's never shown in search engines. Opening it changes nothing, so email scanners that click links can't cancel anything. Every change is checked again before it's saved, and repeated tries are slowed down.

Questions

Can a client move to a time I'm not free?

No. They only see times your booking page would offer for that booking right now - your hours, blackouts, notice, buffer and travel time all apply - and never a time another booking holds, a Pending one included.

Can I allow rescheduling but not cancelling?

Yes. Let clients reschedule online and Let clients cancel online are separate switches in Settings > Policies & terms.

How many times can a client move a booking?

Twice. After two moves, the client is asked to contact you.

Is a deposit refunded when a client cancels?

Not automatically. A Stripe deposit or payment stays in your Stripe account, and the client is told you'll follow your cancellation policy. Your cancellation email says what they paid; to refund, open the booking and click its Stripe payment ID.

What happens after the cutoff?

The Reschedule and Cancel booking buttons are gone, and the page asks the client to contact you, with your phone and email.

Could someone else change my client's booking?

The link is private and can't be guessed, opening it changes nothing, and every change is checked again before it's saved. It only reaches the client through their own emails.

What does it cost?

Online rescheduling and cancelling are free on every plan.
